Sensitive information such as camera images and GPS location data is used only for features that require it, including attendance verification, field workforce visibility, identity support, fraud prevention, dispute resolution, and compliance reporting.
2. Information We Collect
- Employee profile data such as name, employee code, contact details, department, designation, business location, shift, salary, bank, and statutory or payroll-related details when provided by the employer.
- Attendance data such as check-in and check-out time, attendance status, roster, shift, late marks, leave, overtime, weekly off, holiday, and approval records.
- Camera data such as employee selfie images or related verification images captured only when the user uses camera-enabled attendance, identity, or verification features.
- GPS location data such as latitude, longitude, timestamp, and related location context captured for attendance verification, field employee reporting, and authorized location-based operations.
- Device and technical data such as device identifier, app version, operating system, IP address, browser information, log data, and security event records.
- Business workflow data such as leave requests, loan requests, payroll records, approvals, role permissions, audit logs, and administrative settings.
3. Camera Permission
The WorkieHub mobile app may request camera access to capture selfies or images for attendance verification, employee identity support, task evidence, and authorized HR workflows. Camera access is not used for unrelated surveillance. Images are collected when a user actively uses a camera-enabled feature or when the employer has enabled a workplace process that requires image verification.
Captured camera data may be stored securely in cloud infrastructure for attendance records, audit review, dispute handling, legal compliance, and employer-authorized HR administration.
4. GPS Location Permission
The WorkieHub mobile app may request precise or approximate GPS location access to support geofenced attendance, field workforce reporting, location-based check-ins, branch or site validation, fraud prevention, and operational safety. Location data is used only for authorized business features and is visible according to employer-defined roles and permissions.
Location information may be collected during attendance actions, active field reporting, or other app workflows where location is necessary. WorkieHub does not sell GPS location data.
5. How We Use Information
- To provide HRMS, attendance, payroll, leave, shift, loan, device, and workforce management features.
- To verify attendance, identity, workplace location, and authorized employee actions.
- To generate reports, approvals, payroll inputs, compliance records, and operational dashboards.
- To protect the platform from misuse, unauthorized access, fraud, security threats, and policy violations.
- To maintain, debug, improve, and support the WorkieHub web portal and mobile application.
- To meet legal, regulatory, contractual, tax, audit, and employer compliance obligations.
6. Cloud Storage and Data Residency
WorkieHub stores business and employee data in cloud infrastructure with Indian origin and India-focused data residency intent. Cloud storage is used to provide secure access, backups, reliability, auditability, and continuity of service.
Reasonable technical, administrative, and organizational safeguards are used to protect stored information from unauthorized access, disclosure, alteration, or loss. No internet-based service can guarantee absolute security, but WorkieHub follows practical industry-standard controls suitable for HR and workforce data.
7. Sharing and Disclosure
WorkieHub does not sell employee personal data, camera images, or GPS location data. Information may be shared only with authorized employer administrators, approved business users, service providers required to operate the platform, auditors, legal authorities, or regulators where necessary and lawful.
Employers using WorkieHub are responsible for informing their employees about workplace policies, lawful basis, consent requirements, and permitted monitoring or attendance verification practices.
8. Retention and Deletion
Data is retained for as long as required for business operations, payroll, attendance records, audits, legal compliance, dispute resolution, and employer policy. Retention periods may vary based on the type of data and the employer's legal obligations.
Deletion or correction requests can be submitted through the employer administrator or by contacting WorkieHub support. Some records may be retained where required by law, audit, tax, salary, or compliance obligations.
9. User Choices and Permissions
Users may control camera and location permissions through their device settings. Disabling these permissions may prevent camera-backed attendance, GPS check-in, geofencing, or field reporting features from working correctly. Employers may require these features for official attendance or workplace compliance according to their policies.
10. Children's Privacy
WorkieHub is intended for business and workforce management use. It is not designed for children and should not be used by individuals who are not authorized employees, contractors, administrators, or business users.
11. Updates to This Policy
This Privacy Policy may be updated to reflect product, legal, operational, or security changes. Continued use of WorkieHub after an updated policy is made available means the updated terms apply from the effective date stated on the policy.
